The Role:

Currently we are looking for a skilled Senior Document Controller to lead and oversee document control operations across high-profile construction projects. In this vital role, you’ll manage EDMS systems, drive quality assurance, and lead a team of Document Controllers – ensuring smooth document flow and absolute compliance throughout the project lifecycle.

Main Responsibilities:

  • You’ll lead a team of Document Controllers, supporting them through mentorship, training, and workload distribution to meet project deadlines efficiently.
  • You’ll be responsible for managing the Electronic Document Management System (EDMS) , Viewpoint for projects (4P)– setting up templates and workflows, managing permissions, and ensuring compliance with naming conventions and filing structures.
  • Conducting regular QA checks and audits, you’ll ensure that only the correct revisions are in circulation. You’ll also follow up on outstanding responses and ensure stakeholders remain engaged and aligned.
  • You’ll organise training sessions and support both internal and external users in best practice EDMS workflows. Additionally, you’ll help maintain document trackers, RFIs, drawing registers, sample trackers and handover reports.
  • A key part of the role involves maintaining GDPR compliance, ensuring robust Golden Thread documentation from contract award through to project completion. You’ll also oversee document archiving and ensure all systems are up to date and auditable.
  • At project handover, you’ll collaborate with teams to compile final documentation, maintain project directories, and ensure correct documentation is uploaded to relevant portals such as Building Control, Planning, and Warranty providers.

We’re Looking For:

  • Demonstrable experience in a senior document control role including leading or mentoring a team.
  • Strong proficiency in EDMS platforms such as Trimble Viewpoint for Projects is essential.
  • Attention to detail with experience in compliance checks and document auditing.
  • Excellent organisational, time management, and team leadership skills.
  • Knowledge of GDPR and document management regulations.
  • Strong communication and collaboration skills for working with key stakeholders across all levels.
